Presentation of the opportunity for volunteering

What Water is a philanthropic initiative uniting art, engaged citizens, and field actors to make clean water accessible to communities in Central Africa.

As Secretary General, you will join a project with a strong human and social dimension, at the heart of the organization’s governance. You will contribute to the internal fluidity and structural development of an international network of engaged actors.

The Secretary General plays a pivotal and cross-functional role. They ensure the quality of internal communication, the consistency of documentation, the circulation of information, and the continuity of the organization’s structure. This position connects all active members, thematic divisions, and the Board of Directors, fostering transparency, rigor, and collaboration.

Main responsibilities
- Governance and internal organization
- Ensure the structured flow of information among members, teams, and partners.
- Organize meeting notices, monthly meetings, and General Assemblies (ordinary and extraordinary).
- Prepare, write, and archive minutes, meeting notes, and strategic documents (plans, decisions, orientations).
- Maintain and structure reference spaces (Drive, Notion, member directory, internal databases).
- Guarantee document consistency and the traceability of decisions.

Support to leadership and compliance
- Oversee administrative and legal follow-up (registrations, trademark, business register, agreements, bylaws).
- Support the preparation of Board meetings and the implementation of adopted decisions.
- Contribute to the development of sound governance practices and collaborative internal tools.
- Facilitate cross-team coordination (Communication, Operations, Partnerships, Finance).

Collective dynamics
- Foster a climate of open and constructive communication among members.
- Encourage active volunteer participation and the sharing of strategic information.
- Contribute to the structuring and continuous improvement of internal processes.

Key deliverables
- Regularly archived minutes and meeting reports.
- Monthly updates of collaborative spaces and member directories.
- Annual governance report (first due in January 2027).
- Internal organization dossier (document structure, tools, communication protocols).

- Excellent written and verbal communication skills, clear and structured.
- Strong organizational and follow-up abilities over time.
- Background in law and/or nonprofit and project management.
- Knowledge of Luxembourgish is an asset.

Commitment and conditions
- Volunteer position.
- Estimated time commitment: 4 hours per week (depending on projects and periods).
- Participation in the 2025 General Assembly scheduled for December 1, 2025.
